Booking Conditions

These booking conditions govern the relationship between The Elephant Oasis (operated by Elephant Oasis Tented Camp Limited, a Ugandan registered company) and guests who make bookings directly with the lodge.

1. Making a Reservation

A reservation is confirmed once a deposit of 25% of the total booking value has been received and written confirmation has been issued by The Elephant Oasis. An enquiry alone, whether by email, phone, or the website, does not constitute a confirmed booking.

2. Rates and Payment

Rates are quoted in US Dollars per tent per night, as published on the Rates and Inclusions page, and include breakfast and dinner daily. Payment may be made in US Dollars or Ugandan Shillings, at the exchange rate prevailing on the day payment is made. Full payment is due 30 days before arrival unless otherwise agreed in writing. Failure to complete payment as scheduled may result in automatic cancellation of the reservation.

3. Cancellation by the Guest

Cancellations, reductions in length of stay, or reductions in party size are subject to the following fees, calculated against the total booking value: 90 to 30 days before arrival: 10%; 30 to 15 days before arrival: 25%; 15 to 3 days before arrival: 50%; less than 3 days before arrival: 100%. All cancellations and amendments must be submitted in writing. Any bank charges incurred on a refund are deducted from the amount returned. We strongly recommend that all guests obtain comprehensive travel insurance that includes cancellation cover.

4. Cancellation by The Elephant Oasis

In the unlikely event that The Elephant Oasis must cancel a confirmed booking, guests will be offered an alternative date or a full refund of any amounts paid. The Elephant Oasis is not liable for cancellations caused by circumstances beyond its reasonable control, including war, civil unrest, fire, accidents, government action, epidemics, or labor disruption.

5. Children and Infants

There is no age restriction on children staying at the lodge. Cots are available. An extra charge applies for children ages 3 to 11, shown on the Rates and Inclusions page for each tent category.

6. Guest Conduct and Safety

Guests acknowledge that a safari lodge environment carries inherent risks, including those associated with wildlife, water, and remote travel. Guests agree to comply with posted notices, staff instructions, and activity guide requirements at all times, and agree not to constitute a nuisance to other guests. Guests are responsible for ensuring they are fit to travel and have obtained appropriate vaccinations and medical advice before arrival; malaria prophylaxis is strongly recommended.

7. Liability

Guests are responsible for their own personal possessions. The Elephant Oasis is not liable for losses or damages incurred during a stay, and guests agree to hold The Elephant Oasis harmless for losses, damage, illness, injury, or changes to arrangements arising from a stay or from participation in any activity offered or arranged by the lodge, except where caused by the lodge's own negligence.

8. Changes to a Confirmed Booking

Requests to change a confirmed booking are subject to availability and may incur charges. Please contact us as early as possible if you need to amend your dates or party details.

9. Travel Agents and Groups

Travel agents or group organizers holding a provisional booking must confirm final guest numbers and room requirements at least 30 days before arrival. Unconfirmed provisional holds may be released without notice.

10. Complaints

Any complaint regarding a stay must be submitted in writing within 21 days of departure.

11. Governing Law

This agreement is governed by the laws of Uganda, and any dispute arising from it falls under the jurisdiction of the courts of Uganda.
